    General questions

    If I have auto-archive configured and I create a new folder in Outlook, will the folder contents be included in my auto-archive?
    No, the contents of the new folder will not be archived by default. However, you can add the new folder to your auto-archive.
    1. Right-click on the new folder and select "properties."
    2. Select the "AutoArchive" tab.
    3. Select "Archive items in this folder using the default settings."
    4. Click "OK" to save the setting.

    How does the 90-day mail expiration policy affect me?
    Outlook mail items older than 90 days are permanently deleted from the Outlook system. This includes all e-mail, calendar items, notes and tasks. Your contacts are not affected.

    Once a mail item is deleted by the expiration policy, can it be recovered?
    Information Services will be unable to recover items once they are deleted from the system.

    What happens when I choose to delete an item?
    When you delete an item, it is temporarily moved to your "Deleted Items" folder. Items in the "Deleted Items" folder have a temporary life-span and will be permanently deleted before they are 30-days old or sooner if necessary. Therefore, the "Deleted Items" folder should not be used to store items that you want in the future.

    How can I preserve mail items beyond 90-days?
    You can preserve mail items in Outlook by setting up auto-archive. Read the instructions for Outlook 2003 or Outlook 2007 on how to set up auto-archive. Auto-archive will save your e-mail, calendar items, tasks, notes and preserve your folder structure.

    I already have auto-archive set up; do I need to change anything?
    You will still need to go into your auto-archive settings and verify that your settings match the Outlook 2003 or Outlook 2007 instructions. This will ensure you don’t lose mail.

    What options do I have for archive location?
    Archive location is defined by the user. See documentation above for detailed instructions on how to define your archive location.

    I set up auto-archive according to your instructions but I still see items in my mailbox that are older than 90 days, what’s going on?
    Outlook archives mail items according to the modified date. The modified date is the last date your mail items were changed by one or more of the following actions:
    • Forwarding or replying
    • Editing or saving
    • Moving or copying
    An item will be archived 90 days after the most recent modified date.

    How can I find out the modified date of a mail item in Outlook?
    Please review these instructions to determine the modified date of a mail item.

    I use multiple computers at work, how does that affect me with auto-archiving?
    Auto-archive settings are computer specific. We recommend that you only use one computer for archiving.

    Will auto-archive run when Outlook is closed?
    Auto-archive will only run while you are logged into Outlook. For example if you are out of the office for two weeks, auto-archive will not run while you are away. The next time you log in to Outlook, auto-archive will run on its normal schedule.

    How do I archive in my resource?
    You can configure Outlook for manual archiving. Read the instructions on how to set up manual archiving for resources.

    How do I create a backup copy of my Outlook archive?
    You can create a backup copy of your Outlook archive by following these instructions.


    Mac/Entourage

    How can I preserve mail items beyond 90 days using Microsoft Entourage for MAC?
    You can drag and drop your mail and calendar items from your DePaul Exchange Account to your local mail folders ("Folders on My Computer").  Please read the instructions for further details.


    Webmail

    Can I archive using webmail?
    No, there is not an archive option for webmail.

    How can I keep mail items beyond 90 days if I primarily use Webmail?
    You can configure a mail client to use either POP3 or IMAP, which can be configured to download mail to your PC so you can decide when to delete it.
