Outlook E-mail Account Management Policy

Account Management
All Outlook accounts are managed by IS's network administration team (i.e. netadmin@depaul.edu).

Address Book Updates
The Outlook address book contains the following information for all accounts

  • First and last name
  • Office location
  • Phone and fax number
  • Title
  • NDS context
  • Department name
Changes or updates can be submitted to netadmin@depaul.edu.

Name Changes
Outlook accounts are constructed by combining the first letter of the first name with the first seven letters of the last name. If and when two accounts result in the exact letter combination, the second account will be altered by changing the last letter of the account with a number.

Example:

Jane User-- JUSER
John User-- JUSE1
Jill User-- JUSE2
The Outlook account is based on the PeopleSoft account created by Human Resources. Name changes as result of marriage or any other legal reason must first take place in the PeopleSoft database.

You must first contact Human Resources and work with them to update your employee information in the PeopleSoft database. Once this step is completed, you can submit a name change request to netadmin@depaul.edu.

Storage Management
Outlook accounts do not have storage limitations; instead, mail older than 90 days is automatically and permanently deleted every evening.

Every evening at 11 pm, the Outlook server searches for messages whose "life" has exceeded 90 days and automatically deletes the message. This deletion is permanent, and the messages cannot be recovered.

Account Management
Outlook accounts are the property of DePaul University and are available to all approved individuals for the duration of their contracts with the university.

When an individual leaves the university, it is the responsibility of the immediate manager or supervisor to contact the network administration team. When network administration receives notification, the requested account will be disabled and removed from system viewing for two weeks from the date of request. After the second week, the account will be permanently and irreversibly deleted.

At the end of every academic quarter, network administration will run an accounting query to identify Outlook accounts that have been inactive for more than 90 days. Those accounts will be disabled and removed from system viewing for 90 days. At the end of this 90 day period, the accounts will be permanently and irreversibly deleted.

Attachments (Size Limits)

All e-mail attachments are limited to 100 MB.
